1. Introduction

Flowlutions ("we," "us," or "our") is a product of Digitalutions LLC, a company registered in North Carolina. We are committed to protecting the privacy of every individual who visits our website at flowlutions.io, uses our software-as-a-service platform, or interacts with our AI-powered tools, including our AI voice assistant ("Flo"), AI chat agent, and related services (collectively, the "Services").

This Privacy Policy describes what information we collect, how we use it, who we share it with, and what rights and choices you have. By using our Services, you acknowledge that you have read and understood this Privacy Policy.

2. Information We Collect

2.1 Information You Provide Directly

When you register for an account, subscribe to a plan, fill out a contact form, or communicate with us, you may provide: your name, email address, phone number, billing address, payment information (processed securely by Stripe — we never store full card numbers), company name, and any messages or files you submit through forms, chat, or email.

2.2 Information Collected Automatically

When you visit our website or use our platform, we automatically collect: your IP address, browser type and version, operating system, referring URL, pages visited, time and date of access, and device identifiers. We collect this data through cookies, server logs, and similar tracking technologies.

2.3 Information from AI Interactions

When you interact with Flo (our AI voice assistant) or any of our AI agents, we may collect and process the content of those conversations to provide the service, improve our AI systems, and ensure quality. Voice interactions may be transcribed and stored. AI-generated responses are not a substitute for professional legal, financial, or medical advice.

2.4 Information from Third Parties

We may receive information about you from third-party integrations you connect to your Flowlutions account, such as Google, Facebook, Instagram, Stripe, QuickBooks, Slack, and Zapier. The data we receive depends on your settings and permissions with those services.

3. How We Use Your Information

We use the information we collect to: provide, operate, and maintain our Services; process your subscription and billing; send transactional communications (account confirmations, invoices, trial reminders, password resets); respond to your inquiries and support requests; send promotional communications if you have opted in (you may opt out at any time); improve and personalize our platform, AI agents, and user experience; detect, prevent, and address fraud, abuse, or technical issues; and comply with legal obligations.

4. SMS and Text Messaging

Important: By opting in to receive SMS messages from Flowlutions, you consent to receive text messages regarding your account, service updates, appointment reminders, and — if separately opted in — promotional offers. We use SMS as part of our platform's communication tools (missed-call text-back, two-way messaging, automated follow-ups). Your phone number and SMS opt-in status are used solely to deliver these messages.

5. Information Sharing and Disclosure

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following circumstances:

  • Service Providers: We share data with trusted third parties who help us operate our business, including Stripe (payment processing), Google (analytics, calendar, and authentication), and our hosting infrastructure. These providers are contractually bound to use your data only for the purposes we specify.
  • Legal Requirements: We may disclose your information if required by law, subpoena, court order, or governmental regulation, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business Transfers: In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you via email or prominent notice on our website before your information becomes subject to a different privacy policy.
A2P Messaging Compliance: No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6. Cookies and Tracking Technologies

We use cookies and similar technologies to recognize your browser, remember your preferences (such as dark/light mode), understand how you interact with our site, and serve relevant content. You can control cookies through your browser settings. Disabling cookies may affect the functionality of certain features.

7. Data Retention

If you cancel your subscription, we retain your data for 90 days to allow for reactivation or data export. After that period, your data is permanently deleted from our active systems. Backups may retain data for an additional 30 days before being purged. We may retain certain information as required by law or for legitimate business purposes such as fraud prevention.

We take the security of your information seriously. We use industry-standard encryption (TLS/SSL) for data in transit and encrypted storage for data at rest. Access to personal data is restricted to authorized personnel who need it to perform their job functions. While we implement commercially reasonable safeguards, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

Depending on your location, you may have the right to: access the personal information we hold about you; request correction of inaccurate information; request deletion of your personal information; opt out of promotional communications; export your data in a portable format (CSV); and withdraw consent for SMS messaging at any time by replying STOP.

Our Services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children.
